# Manage the Folder Structure in the File Module

## Overview: manage folder structure

Folder structure editing in the Files module lets you create, rename, move, and delete folders like a file explorer, which is used to organize drawings, submittals, and project documents.

For copying structure from another project or importing a folder template, see the copy-folders guide.

* Your role must be **Manager** or **Admin**.
* You can find the menu at Files module - **Folder Structure**.
* This changes folder layout and can permanently delete folders and all files inside them. System folders such as Reports cannot be removed.

|| Only users with the project role Manager or Admin can perform this action.
||| Deleting a folder permanently deletes all files inside it. There is no undo.

## How to manage the folder structure

1. Open the **Files** module from the left menu.
2. Click **Folder Structure** at the top of the view.

3. Use the folder structure editor to modify the layout.

4. Right-click a folder to add, rename, or delete folders.
5. If you are a project **Admin**, use the checkbox when editing folders.
6. Enable the checkbox to restrict management and access settings to Admins only. Disable it to allow Managers to edit the folder as well.

## Results: folder structure

|---|---|
| Right-click on a folder | Shows options to add, rename, or delete |
| Admin-only checkbox | Restricts folder management to Admins |
| Delete folder | Permanently deletes the folder and all files inside |
| Reports [systems folder] | Auto-created by CxPlanner for finalized checklist and test documentation |

The **Reports [systems folder]** stores automatically generated PDF reports from completed checklists, tests, and inspections. You do not create or organize it manually, and you cannot upload your own files into it.

## Troubleshooting: folder structure

| Problem | Cause | Solution |
|---|---|---|
| Cannot edit folder structure | Your project role is below Manager | Ask a project **Admin** to raise your role to **Manager** or to edit the folders |
| Folder edit options not visible | Context menu was not opened with right-click | Right-click directly on the folder name |
| Deleted folder cannot be recovered | Delete has no undo | Recreate the folder and re-upload the documents |
| Reports folder cannot be removed | It is a system-generated folder | Leave it in place. It is required and permanent |
| No upload button | Your folder permission or role does not allow upload | Ask a **Manager** or **Admin** for Write access on that folder |
| No upload button even as Admin | You are trying to upload into Reports (system folder) | Upload elsewhere. The Reports system folder only receives generated reports |
