# Manage user-group permissions on a project

## Overview: user-group permissions

User groups in Project Settings let you control access and visibility for multiple users across companies within one project, which is used when contractors, consultants, or trade teams need shared permissions without managing each user one by one.

* Your role must be **Manager** or higher.
* You can find the menu at **Project Settings** - **User-groups**.
* This changes task visibility, checklist access, and whether group users can create tasks.

|| Only users with the project role **Manager** or higher can perform this action.

|| Users with the project role **Admin** or **Manager** are not restricted by user-group settings.

## How to manage user-group permissions

| Option | Description |
|---|---|
| Limit view: Only own and company | Restricts users to tasks assigned to them or their company |
| Limit view: User-group can see each others | Allows users in the same group to view each other's tasks |
| Users cannot freely create tasks | Prevents group users from adding new tasks or observations |

Examples: a turnkey contractor group with file access for the main contractor and subcontractors; a ventilation group limited to that trade's folders and tasks.

## How to manage user-group permissions

1. Go to the **Project Settings** page.
2. Click the yellow **User-groups** button in the top-right corner.

3. To assign a user to a group, click the **move** icon next to the user and select the user group from the dropdown.
4. You can also assign a user group when adding a user to the project, or edit the assignment later in Project Settings.
5. Edit access settings for each user group as needed.

## Results: user-group permissions

* Users in the group share the access settings you configured
* Task and checklist visibility follows the limit-view options
* Group users can create tasks only when that option allows it
* Project **Admin** and **Manager** users stay unrestricted by user-group limits

## Troubleshooting: user-group permissions

| Problem | Cause | Solution |
|---|---|---|
| User cannot see all tasks or checklists | Limit view: Only own and company is active | Assign the task or checklist to the user group, or turn off that limit for the group |
| Subcontractor cannot create tasks | Users cannot freely create tasks is enabled | Turn off **Users cannot freely create tasks** for that user group |
| User cannot see group tasks | Limit view: User-group can see each others is off | Enable that setting, or reassign the user to the correct group |
