# Require PIN code before signing a checklist

## Overview: PIN code before signing a checklist

PIN-to-sign requires each user to enter a personal PIN before Completed by, Accepted by, or Approved by, which is used on projects that need an extra signing control.

The company must have the SecurityModule.

* Your role can be any user to set a personal PIN. Enabling the project setting requires Project Owner or **Admin**, and the company SecurityModule.
* You can find your PIN at profile - **MFA settings** - **PIN for signing checklists**, and the project toggle at **Settings** - **Advanced** - **Security**.
* This changes signing on PIN-enabled projects. It does not change checklist line item data.

## What CxPlanner does with signing PINs

* Stores your personal PIN with the same hashing method used for passwords
* Shows a **Signing PIN** field in the signature modal on PIN-enabled projects
* Verifies the PIN before processing the signature
* Locks PIN entry for 15 minutes after 5 incorrect attempts
* Sends a security email when you set or remove a PIN

## Requirements for PIN signing

## How to set your PIN

1. Click your profile picture or name in the top-right corner.
2. Go to **Profile** - **MFA settings**.
3. Expand **PIN for signing checklists**.
4. Enter a numeric PIN (4 to 12 digits, numbers only).
5. Re-enter the PIN in the **Confirm PIN** field.
6. Click **Set PIN**.

You receive a security email confirming the PIN was set.

## How to sign a checklist when PIN is required

1. Open the checklist and click the signing button, for example Completed by, Accepted by, or Approved.
2. Enter your PIN in the **Signing PIN** field above the signature area.
3. Draw or confirm your signature as usual.
4. Hold the **Hold to Save** button to finalize.

If the PIN is wrong, CxPlanner shows **Invalid PIN** and the signing does not go through.

## How to sign in bulk with a PIN

When you bulk approve multiple checklists, the same PIN field appears in the signature modal. Enter your PIN once for all checklists in the batch.

## How to remove your PIN

1. Go to **Profile** - **MFA settings**.
2. Expand **PIN for signing checklists**.
3. Click **Remove PIN**.

You receive a security email confirming the PIN was removed. After removal, you cannot sign on PIN-required projects until you set a new PIN.

## How to enable PIN-to-sign on a project

1. Open the project and go to **Settings** - **Advanced**.
2. Scroll to the **Security** section.
3. Toggle **Require PIN to sign checklists** on.

Users without a PIN see a message to set one on their profile before they can sign.

## Results: PIN signing

* The PIN is personal to your account and shared across all PIN-required projects
* Nobody at CxPlanner or your company can see your PIN
* After 5 incorrect attempts, PIN entry locks for 15 minutes
* The project toggle is visible only when SecurityModule is active

## Troubleshooting: PIN signing

| Problem | Cause | Solution |
|---|---|---|
| PIN field missing when signing | Project toggle is off, or company lacks SecurityModule | Ask a project **Admin** to enable **Require PIN to sign checklists**, or ask a **Company Admin** about SecurityModule |
| Invalid PIN message | Wrong PIN entered | Re-enter the numeric PIN, or remove and set a new PIN on your profile |
| Locked out of PIN entry | Five incorrect attempts | Wait 15 minutes, then try again |
| Message says set a PIN before signing | No personal PIN on your profile | Go to Profile - MFA settings - PIN for signing checklists and set a PIN |
| Cannot sign after removing PIN | Project still requires a PIN | Set a new PIN on your profile |
| PIN toggle missing in project settings | SecurityModule is not enabled for the company | Ask a **Company Admin** or CxPlanner support to enable SecurityModule |
