# Use & manage the Meeting module

The Meetings feature lets a project team capture attendees, write structured minutes, link follow-up tasks, and publish or sign a formal record of a meeting, directly inside a CxPlanner project instead of a separate document. This page covers turning the feature on, creating and continuing a meeting series, editing minutes and participants, and publishing and signing a meeting. 


|| **The meeting module** is an enterprise feature. It only appears in a project's sidebar after a CxPlanner backend administrator enables the **Meeting** plugin for your company, and a project **Admin** turns it on in that project's settings.

## Turn on Meetings for a project

1. Ask your CxPlanner administrator to enable the **Meeting** plugin for your company. Only a CxPlanner backend administrator can do this step.
2. Open the project and go to **Project settings**.
3. Find the **Meetings** toggle and turn it on. This step requires project role **Admin**.
4. Save project settings. **Meetings** appears in the project sidebar.

## Who can do what in Meetings

| Action | Who can do it |
| ---- |
| Enable the **Meeting** plugin for a company | CxPlanner backend administrator only |
| Turn on **Meetings** in project settings | Project role **Admin** |
| Open **Meetings**, create, continue, edit, publish, reopen, and manage participants | Project role **Manager** or higher |
| View meetings and sign a published meeting | Project role **Contractor** or higher, with project meeting acces |


## Create a meeting

1. Open **Meetings** from the project sidebar.
2. Click **New meeting**.
3. Enter **Name** and **Date**. Both are required. Optionally set **Type**, **Category**, **Status**, and a recurrence.
4. Optionally choose **Base on existing meeting** to continue a previous meeting - this copies the header and participants into a new draft instead of starting blank.
5. Click **Create**. The meeting editor opens.

CxPlanner numbers each meeting sequentially within the project, and within its type when meeting types are used. **Type** and **Category** are optional, project-specific lists - if your project doesn't have any yet, ask a project manager to set them up for Meetings.

In the meeting editor, you can add participants, link tasks directly to the meeting, and use CxAI to generate a summary and help you focus on what matters.

## Add participants

Find the **Participants** section in the meeting and click **Add participant**.

## Link tasks to the meeting

Use **Add task** in the meeting editor so the task has a direct link to the meeting.

## Generate a summary with CxAI

Use **CxAI** to generate a summary of the meeting and help you focus on what needs attention.

## If Meetings doesn't appear in the sidebar

Confirm the company has the **Meeting** plugin enabled and the project's **Meetings** toggle is on in **Project settings**. Refresh the page after saving project settings.

## If you can view meetings but can't create or edit them

Creating, editing, publishing, and managing participants require project role **Manager** or higher. Ask a project admin to raise your role.

## If saving fails or your edit is rejected

Another user may have updated the meeting at the same time, or the meeting is already published or signed. Reload the page, or use **Reopen to draft** if you need to edit a locked meeting.

## If the Sign meeting button is missing

Signing only becomes available once a meeting is **Published**. Publish the meeting first, then use **Sign meeting**.

## If a task doesn't appear under the meeting

Only tasks created with **Add task** inside the meeting editor are linked to that meeting. Tasks created elsewhere, even in the same project, aren't listed here.
