How do I synchronize checklist data with equipment assets in CxPlanner?


Synchronizing checklists with equipment assets ensures that verification activities are directly tied to the relevant systems and components. This improves traceability, reporting accuracy, and overall project structure.


Only users with the project role Manager or higher can synchronize checklist data with equipment assets.


When and why to use this


Synchronizing checklist data is helpful when you want to ensure all project documentation aligns with equipment.

  • Use this action when you need to connect a checklist to a specific system or component.
  • The system will link the checklist results to the equipment asset, making reporting and follow-up easier.
  • This prevents gaps between checklists and assets and ensures consistent project tracking.
  • Once synchronized, updates in the checklist will reflect in the equipment overview.


How to - step by step & video guide


  1. Open the checklist

Go to your project and open the relevant Checklist where you want to capture asset data.


  1. Add a new line item

Click Add line (or similar) to create a new row in the checklist.


  1. Convert the line to an asset sync row
  • On the new row, open Actions and choose Convert to “Sync value to asset/equipment.”
  • This turns the row into a special mapping between the checklist and the asset.


  1. Understand the three fields on the row
  • Column 1 – Info/Label: Purely instructional for the user (e.g., “Record data to equipment/asset,” or “Enter Actual model”).
  • Column 2 – Reference (pull from asset): Displays a value from the asset so users can see it in the checklist (e.g., Design model).
  • Column 3 – Input (push to asset): The field where the user types a value that will be written back to the asset (e.g., Actual model).


  1. Configure which asset fields you want to use
  • Set the Reference field to the asset property you want to display (e.g., Design model).
  • Set the Input field to the asset property you want users to update (e.g., Actual model).
  • Use the Info/Label to guide users on what to enter.


  1. Set permissions expectations
  • Project administrators can edit both the input field and (if needed) the Design model directly from the checklist.
  • Users with lower access can only fill in the Input (push) field (e.g., Actual model). The Reference field remains read-only.


  1. Enter and save data
  • The user types the value in the Input field (e.g., enter Actual model).
  • Saving the row automatically syncs the value back to the linked asset/equipment.


  1. Verify the update on the asset
  • Open the Asset/Equipment Overview.
  • Confirm that the asset now shows the updated value (e.g., Actual model: ADA) alongside the reference value (e.g., Design model: Siemens).


Behavior and results


When you synchronize checklist data with an equipment asset:

  • The checklist will appear under the asset in the Equipment overview.
  • The asset will inherit verification progress from the linked checklists.
  • Reports and exports (PDF/Excel) will show the connection between assets and checklists.
