Real-Time Project Data with Dashboard Analytics
Overview
How do I use the dashboard analytics to track project progress in CxPlanner?
The Analytics module in CxPlanner allows you to track checklist progress, quality assurance status, and test outcomes through a filterable grid view and visual dashboard charts, which is used for project health monitoring, progress reporting, and coordination meetings.
This guide covers accessing and using both views of the Analytics module - the Assets: Checklist grid and the Dashboards tab - including filtering, customizing grid columns, and saving filter presets. Requires project role Manager or Admin to access the module.
When and why to use this
Use the Analytics module when you need to review checklist progress or produce a status report for a project team, client, or general contractor. The module offers two complementary views: the Assets: Checklist grid for detailed, line-level review, and the Dashboards tab for a high-level visual summary suited to progress meetings.
- When this action is needed - during weekly project reviews, coordination meetings, or when a client requests a snapshot of checklist and QA completion status
- What the system does - the grid lists individual checklists with filterable status data, while the Dashboards tab renders donut charts, timelines, and grouped breakdowns of that same underlying data
- Limitations - the module must be enabled per project by a Manager or Admin before either view becomes visible in the sidebar
Steps to access dashboard analytics:
- Go to the sidebar and click on Analytics. (If you don’t see it, the module may not be enabled for the project.)
- Select the data area you want to explore (e.g., Assets, Tasks, QA, Test results).
- Apply filters from the filter bar - Name, Status, Category, Responsible person, Responsible company, Checklist Types, Asset Types, or Assets fields. Combine multiple filters as needed; the grid updates immediately.
- Review graphs and tables to understand status and trends.
- After applying the filters you want, click Save filter and enter a name to save the combination as a preset.
- In the Dashboards tab, review the five chart panels: Checklist approval progress, Approval stats breakdown, Checklist line items stats, Checklist timeline, and Checklist assignments.
- On the Checklist timeline panel, use the chart type selector to switch between Planned vs Actual, Planned vs Actual Accumulated, Line Items Approved Over Time, and Approved Checklists Over Time.
- On the Checklist assignments panel, use the grouping selector to switch between Category, Company, Responsible person, and User group.

Behavior and results
The dashboard provides visual overviews of project areas like:
- Task progress (e.g., completed this week)
- QA statuses (e.g., failed checklists or pending approvals)
- System-specific performance (e.g., ventilation test failures)
Filters allow custom reporting by:
- Time range (e.g., yesterday, last 7 days)
- System type
- Category or responsible person
Each project must manually activate the Analytics module to make it accessible
Assets: Checklist grid
The default view lists all checklists in the project as a filterable table. Columns include Name, Status, Category, Responsible person, Responsible company, Asset, and others available through Edit grid. Column visibility changes apply only to your own session and do not affect other users' views.
Dashboards tab
Chart | Type | What it shows |
|---|---|---|
Checklist approval progress | Donut chart | Split of approved, pending, and not-started checklists as a percentage of total |
Approval stats breakdown | Numerical summary | Count of checklists in each approval status |
Checklist line items stats | Summary table | Total line items across all checklists, broken down by approved, pending, and N/A |
Checklist timeline | Line or bar chart | Checklist progress over time, with four selectable chart types |
Checklist assignments | Grouped bar or table | Checklist status grouped by category, company, responsible person, or user group |
The dashboard also surfaces system-specific performance data, such as ventilation test failures, and supports custom reporting by time range, system type, category, or responsible person.
Filter presets
Saved filter presets are not user-specific. Once saved via Save filter, a preset appears in the filter dropdown for every project user - not just the person who created it. Any user with access to the Analytics module can save a preset; there is no additional role restriction beyond module-level access.
Permission summary
Action | Required role |
|---|---|
View Analytics module (both tabs) | Manager or Admin |
Save a filter preset | Manager or Admin (same as module access - no additional restriction) |
Edit grid columns | Manager or Admin (session-only, no additional restriction) |

Troubleshooting
Problem | Cause | Solution |
|---|---|---|
Can't see the Analytics menu | Module not activated for the project | Ask a Manager or Admin to enable it |
No data appearing in results | Filters too narrow | Reset or broaden filters |
Saved filter preset isn't visible to teammates | Preset wasn't saved successfully, or the page needs a refresh | Reapply the filters, click Save filter again, and confirm the preset appears in the dropdown before sharing |
Dashboard charts don't reflect recent changes | Checklist updates haven't fully saved, or the page is cached | Refresh the Dashboards tab and confirm the underlying checklist change was saved first |
Edit grid column selection resets | Column visibility is session-only and doesn't persist across logins | Reapply the desired columns via Edit grid each session |
Assets fields filter is missing or empty | The project has no custom asset attributes configured | Ask a project Admin to confirm asset attribute setup |
Quick facts
- Requires: Project role Manager or Admin to access the module; no additional role is needed to save filter presets or customize grid columns beyond that
- Location: Sidebar → Analytics → Assets: Checklist tab (grid) and Dashboards tab (charts)
- Affects: Task and checklist visibility, QA tracking, reporting, and saved filter presets (visible to all project users)
