Setting up Recurrent Checklists for a maintenance project

Overview


How do I set up an asset project and configure it with recurrent checklists?


An asset project is used to run a project during its Operations phase, or to extend an existing construction project into that phase. Within this context, you can assign recurrent checklists for maintenance tasks such as inspections and testing.


Only users with the project role Manager or higher can set up recurrent checklists



When and why to use this


Use this feature when transitioning into or operating within the Operations & Maintenance (O&M) phase.


  • Enables a project to support asset-centric workflows during O&M.
  • Supports recurrent checklists for ongoing inspections and tests.
  • Useful for long-term facilities management and equipment tracking.


Typical use cases:


  • Transitioning a construction project into operations.
  • Running a dedicated O&M project for installed assets.
  • Managing repeating maintenance tasks with traceability.


Examples:


  • You need to change oil in a motor every 3 months.
  • You need to change filters in an AHU every 30 days.
  • You need to check fire system detectors every 120 days.





How to – step by step


  1. Access the Asset Register

Use the sidebar to open the Asset Register, where you can create and manage all operational assets.


  1. Create the "Checklist type"

Go to Checklist Types and create the needed types, e.g. "Inspection", "Testing".


  1. Set up the "Asset type"

This is the crucial part. Open the Asset Types and create the recurrent checklist types. Set the name, choose the template, tick-on the "Duplicate" checkbox, and then select the "Recurrent".


  1. Create assets

Each time you create an asset the corresponding checklists will be created too. You just need to set the start date for the checklist, and then when they have been performed a new one is created automatically.

Behavior and results


Once active:


  • The system automatically generates future checklists based on recurrence settings.
  • Each checklist is tied to the specific asset, ensuring traceability.
  • Approving a checklist resets the next due date based on the defined frequency.
