Overview
How do I create and manage systems in the Asset module in CxPlanner?
The Systems overview in the Asset module allows you to group and structure assets into logical systems by creating system records and assigning checklists to them, which is used to organize commissioning work by system (for example HVAC, LV Distribution, or Fire Suppression) instead of tracking every asset one at a time.

When and why to use this
A commissioning team working through an HVAC system needs to track progress across every asset in that system, not just one asset at a time. Instead of checking each air handler, VAV box, and duct sensor individually, the team groups them under a single HVAC system record and reads aggregate checklist completion, open issues, and sign-off signatures from one row in the Systems overview.
- When this action is needed - when a project needs to track and report checklist completion, punchlist issues, or approvals at the system level (for example "HVAC" or "LV Distribution") rather than per individual asset.
- What the system does - creates a system record that aggregates asset counts, checklist completion percentages, open issues, and signatures across every asset assigned to it.
- Limitations - an asset can belong to only one System and one Sub System at a time; moving an asset to a different System immediately changes which row it reports into.

Add a system record
- Open the Asset module from the left sidebar.
- Click Systems overview in the sidebar.
- Click Add system in the top right corner.
- Fill in the system fields:

- Click Save to create the system record.
The new system appears as a row in the Systems overview. Assets can be assigned to it immediately after creation.
Add or remove assets from a system
Assets are managed from within the system record itself, not from the Systems overview grid directly.
To add assets to a system:
- Click the system row name to open the system record detail panel.
- Scroll to the Assets section.
- Click Add asset and search for or select the assets to add.
- Click Confirm.
To remove an asset from a system:
- Open the system record detail panel.
- Find the asset in the Assets list.
- Click the remove icon next to the asset.
Removing an asset from the system record also clears the System field on that asset record. The asset remains in the project but no longer appears in this system's row.
Assign System and Sub System from an asset record
- Open the asset detail panel for the asset you want to reassign.
- Edit the System field to set the asset's primary system.
- Edit the Sub System field to set an optional secondary classification within that system (for example "AHU Loop" within "HVAC").
An asset can belong to only one System and one Sub System at a time. Changing either field immediately updates which row the asset appears in on the Systems overview.
Behavior and results
Systems overview grid columns
The Systems overview grid contains the following columns. Some columns are always visible; others may require scrolling or column configuration.

Signatures column
The Signatures column shows a collapsed summary of signatures collected on system-level checklists. Expand it to see the full list of signatures and approvals recorded against this system's checklists, including:
- The name of each signatory
- Their role at the time of signing
- The date and time of the signature
- Which checklist the signature is attached to
How System and Sub System link to this view
Each asset record has two fields that control which row it appears in within the Systems overview:
- System - the primary system the asset belongs to (for example "HVAC"). An asset assigned System = "HVAC" appears in the HVAC system row and contributes to that row's asset count, completion percentages, and open issues count.
- Sub System - an optional secondary classification within the system (for example "AHU Loop" within "HVAC"). Sub Systems appear as nested rows under their parent System in the overview when sub-system grouping is enabled.
An asset can belong to only one System and one Sub System at a time. Changing these fields immediately updates which row the asset appears in.
Troubleshooting
Problem | Cause | Solution |
