Tutorial: Setting up the "System and test view"

Overview


How do I create and manage the System & Test view (S&T) in CxPlanner?


You can manually add equipment items, import them from spreadsheets, edit them in bulk, and manage related checklists. This process ensures all equipment is properly tracked and assigned within your project.


Only users with the project role Manager or higher can perform this action.


When and why to use this


When you have been recommended to use the System and test view module instead of the Asset module


Use equipment creation and management to maintain a clear and organized record of all items within your project.

  • When setting up a new project and defining equipment lists
  • When adding multiple items at once using spreadsheet imports
  • When linking checklists to equipment for progress tracking
  • To bulk edit or delete items for faster updates


System behavior:

  • Items can be added manually or imported in bulk
  • Checklists can be linked or imported to each item
  • Column layout can be customized per project
  • Bulk edit allows simultaneous changes to multiple items


Limitations:

  • Imports require a correctly formatted spreadsheet
  • Only users with admin-level project permissions can change settings and customize columns

How to - step by step


  1. Create or open a project

Open CxPlanner and create a new project or select an existing one.


  1. Manually add equipment items
  • Click New Item.
  • Enter the item name (e.g., Mechanical Complete) and save.
  • Add more items (e.g., Air Handling Unit) and assign tags (e.g., Unit 01, Unit 02).


  1. Understand the columns

Review the columns in the equipment list:

  • Link - Access individual checklists
  • Status - View completion status
  • Responsible - Assign team members
  • Info - Add additional notes


  1. Access settings

From the menu, scroll down and select Settings. Admin rights are required.


  1. Customize columns

Enable or disable columns and drag to rearrange their order.


  1. Import equipment from spreadsheet
  • In the menu, select Download Overview.
  • Fill in the spreadsheet with equipment details.


  1. Upload the spreadsheet
  • In the menu, select Bulk Import from Excel.
  • Upload your prepared spreadsheet.


  1. Bulk edit items
  • Select Bulk Edit Many Items from the menu.
  • Choose items to move or modify, then apply changes.


  1. Import checklists
  • Select one or more items and choose Import Template.
  • Find the correct template and import checklist items.


  1. Delete checklist items
    • Select the checklist item to delete.
    • Choose from: delete checklist, delete checklist and all children, or delete checklist items only.


  1. Filter assigned items
    • Click the Shield icon to filter items assigned to you.
    • Select Show All to remove the filter.
