Allow External Users to Request Adding Team Members to a Project

Overview

How can external users or users with limited roles invite their own team members to a project?

In CxPlanner, users with sufficient permissions can always add new users directly to a project. However, you can also allow external users or users with a lesser project role to request adding additional team members. These requests must be approved by a Project Manager or Admin before the users are added.

When and why to use this

This feature is useful when you want to delegate part of the user administration to external collaborators, such as contractors or consultants, without giving them full management rights.

• When external users need to involve colleagues in the same project
• When you want to reduce administrative workload for project owners
• When you still need control over who gets access to the project

Key behavior to be aware of:

• Users with Manager or Admin role can always add users directly
• Users with lesser project roles can only request adding users
• All requested users must be approved by a Manager or Admin before access is granted

How to - step by step

1. Go to the project frontpage.
2. Locate the section Users attached to the project and click the user icon with a plus (+) next to it.
3. Enter the details of the user you want to add.
4. Submit the request.

Behavior and results

• The requested user will not gain access immediately.
• A Project Manager or Admin must review and confirm the request.
• Once approved, the user is added to the project with the assigned role.
• You can only request one person at a time
