Delete or Archive a Project

Overview: delete or archive a project

Closing a project in Project Settings archives it by setting status to Closed, while deleting removes the project permanently, which is used when a job is finished or must be removed from CxPlanner.

Prefer closing if you might need the project again. Deleting cannot be undone.

  • Your role must be Admin.
  • You can find the menu at Project Settings - Project data (close) or Project Settings - Advanced (delete).
  • This changes whether the project is available, and for delete removes all project data.

Only users with the project role Admin can delete or close a project.

If you delete a project, it is permanently removed and cannot be recovered.

How to close (archive) a project

  1. Click Project Settings from the left sidebar.
  2. Open the Project data tab.
  3. Click the pencil icon next to the project status.
  4. Change the status to Closed and confirm.

Results: close vs delete

Action

Result

Reversible?

Close

Project is archived; data is retained

Yes - you can reopen by changing status

Delete

Project is permanently deleted, including checklists and data

No - permanent

Does closing or deleting a project affect checklist numbers?

No. CxPlanner does not limit or number checklists, and a project's status does not reserve or free up any kind of checklist quota. You can create as many checklists as you need in a project whether it is open or closed.

If a project has an extremely high volume of checklists, this may be addressed in your contract terms. This is tracked internally by CxPlanner and is not a checklist count or numbering system visible to you.

What CxPlanner tracks at the project level is the project's status - Open or Closed - not the number of checklists in it.
