Overview


How do I get started as a contractor in CxPlanner?


This guide explains how contractors can log in, navigate the platform, and complete assigned tasks using the System & Test View.


Only users with the Project role: Contractor can perform the actions described here.


When and why to use this

Contractors use the System & Test View to review, update, and complete checklist items assigned to them within a project. This ensures accurate progress tracking and compliance with project standards.


Use this guide when:

  • You are a new contractor user on CxPlanner
  • You need to access and complete checklists
  • You want to understand how tasks and punch list items work


The platform:

  • Shows only your assigned tasks for a focused workflow
  • Automatically generates follow-up tasks when items fail


Limitations:

  • Contractors have restricted access to only assigned items
  • Some actions require adding comments, numbers, or photos


Guide - How to login


This section shows you how to log in with your new user and customize your profile. You should have received an email with information about your new user.


  1. Open the "Welcome email" sent by CxPlanner
  2. Click the confirmation link to approve your email address
  3. Go to https://cxplanner.com/login
  4. Enter your email address and password from the welcome email




Guide - How to find your project


After login, you will end up on the home page (if you're only associated with one project it will open automatically)


  1. On the left side of the sidebar, click Projects
  2. Locate and select the project you wish to work on





Navigate within the project


As a contractor you will only have limited access to the platform to make it as comprehensible as possible. You will therefore only see the tasks that have been assigned to you.


As a contractor you have access to the following:

  • Respond on issues (text and photo responses)
  • Re-assign tasks
  • Perform checklists assigned to you


Guide - how to access checklists


The System & Test View tap includes the checklists in CxPlanner. It will provide you with a comprehensive overview of all checklists for the project.

The overview helps to clearly show what is expected from you on the project and helps you to track progress and ensure compliance with the project's standards.


  1. In the sidebar, go to Commissioning → System & Test View.
  2. Locate your assigned checklist and click the blue Open button.



Guide - How to complete checklists and line items


When you have opened the checklist you will be greeted with a lot of different options, but the main feature you as a contractor have to focus on is the “checklist” section. (see screenshot below"



Checklist options

Within the checklist you will see the line items. Each line item includes PASS/FAIL/NA and possible requirements (e.g. provide a photo).


Option 1 - Pass


When approving a punch list item with a “pass” the task will turn green and hereby by completed




Option 2 - Fail


When failing a punch list item via the “fail” button the task will turn red. Whenever you’re failing a punch list item on a checklist a new task will be generated for the team, so they can go over the failed punch list item and make sure it gets fixed.




Option 3 - N/A (not applicable)


When choosing the N/A option the punch list item will simply just be marked gray on the checklist and therefore now be hidden.


Requirements


When going through the punch list you might also come across some different icons on the checklist. This is because some punch list tasks require extra attention and may need a comment, number or a photo.

Review punch list items & tasks


When you mark a checklist line item as Fail, CxPlanner automatically creates a punch list task for follow-up. This ensures that any failed work items are tracked, assigned, and resolved before project completion.


  1. Open the Punch List Items & Tasks section in the sidebar.
  2. Locate the failed item - it will appear as a new task linked to the original checklist entry.
  3. Review the task details:
  • The description explains why the item failed.
  • Photos, numbers, and comments from the checklist are included for reference.
  • The responsible team or person is listed.
  1. If necessary, add additional notes or documentation to clarify the issue.
  2. Once the responsible party resolves the issue, the task can be rechecked and passed.



Punch list tasks remain visible until they are closed. Keeping these items up to date ensures everyone on the project team has a clear view of outstanding issues and their status.





Behavior and results


  • Pass – item marked green, no further action required.
  • Fail – item marked red, triggers new task for the project team.
  • N/A – item marked gray, excluded from checklist display.
  • System automatically logs actions for project records.
