Import checklists automatically to assets or equipment

Overview

How can I automatically attach checklists when creating new assets or equipment?

With CxPlanner you can define an asset or equipment type and pre-attach one or multiple checklists. When new items of that type are created, the selected checklists are imported automatically.

Only users with the project role Manager or higher can configure checklist imports.

When and why to use this

Setting up automatic checklist imports is useful when you have repeated systems or equipment that always require the same tests.

  • Use this when creating multiple similar assets (e.g. VAV boxes, fans, pumps).
  • The system auto-attaches the predefined checklists when a new item is created.
  • Saves time by avoiding manual checklist creation for each item.
  • Two different import types are available: Sub-checklists and Checklist items.

How to - step by step

  1. Go to your Project settings.
  2. Select the Checklists section.
  3. Choose whether to configure the import as Sub-checklists or Checklist items.
  4. Define the asset/equipment type and attach the desired checklists.
  5. When you later create an asset of that type, the linked checklists will be imported automatically.

Behavior and results

There are two types of imports available:

Sub-checklists

  • The attached checklists appear as child checklists under the asset.
  • The asset becomes a “folder” containing the sub-checklists.

Example:

Ventilation

  • Mechanical complete
  • Functional check
  • System integration test

Checklist items

  • The asset itself is a single checklist.
  • The items from the attached checklist(s) are imported directly into the asset’s checklist.

Example:

An asset called “Ventilation” with the checklist “Ventilation - General inspection” will have its inspection items imported directly.

Importing with bulk import

You can also use the bulk import spreadsheet to define assets with pre-attached checklists.

Simply select the checklist type (sub-checklist or checklist items) in the spreadsheet before uploading.
