Import checklists and test sheets from Excel

Overview


How do I import my existing checklists or test sheets into CxPlanner?


You can easily transfer your current Excel-based checklists into CxPlanner using the built-in Import from XLSX function. This ensures your project workflows stay consistent without needing to rebuild everything from scratch.


Only users with the project role Manager or higher can import checklists.


When and why to use this


Importing from Excel is useful when you already have structured checklists or test sheets and want to bring them into CxPlanner.

  • Use this feature when you want to migrate checklists quickly from spreadsheets.
  • The import tool automatically converts your Excel data into CxPlanner’s structure.
  • You can choose between a simple import (minimal required fields) and an advanced import (with detailed requirements and options).
  • Some fields are optional but allow you to add rules such as photo requirements or mandatory comments.


How to - step by step


  1. Open your template and click the Import from XLSX (Excel) button.
  2. In the popup window, click Download template.
  3. Open the downloaded template and copy your data into the file.


The data you need to copy is always highlighted in green at the far right of the template. Scroll right if you don’t see it.


  • At minimum, fill in Topic/Heading and Test item.
  • Copy the result from the green column on the right-hand side.


  1. Back in CxPlanner, paste the copied values into the import field.
  2. Click Import data to complete the process.

Behavior and results

Simple vs. Advanced import

CxPlanner offers two levels of importing:


Simple import

Minimal fields required. Best if you only need basic checklists.




Advanced import

Full control over checklist behavior and validation.



Field definitions

Field type

Purpose

(1) Required fields

Defines the checklist topic and item descriptions.

(2) Optional fields

Adds extra information, e.g., reference notes.

(3) Comment on fail

Requires users to write a comment if they fail an item (set with “X”).

(4) Required input

Defines required actions, e.g., upload a photo (set with “X”).

(5) Advanced options

Allows configuration of additional behaviors.

(6) Copy/Paste column

The generated green column to paste back into CxPlanner.
