Add a table to a checklist template

The Checklist table block in the Templates Center lets you build a fixed-layout grid - labels, fillable text cells, and checkboxes - directly on a checklist template, used for compact sign-off grids, commissioning punch lists, and structured forms that need to print and fill consistently. This guide covers adding the block, building the layout, marking input and checkbox cells, choosing Page-width or Free-width, and filling those cells on a project checklist.


Template authoring needs Company role edit rights on the template, set by the template's edit-access setting. Filling cells on a project checklist needs a Project role that can perform that checklist.


Add a Checklist table to a checklist template


  1. Open Templates (template center) for the checklist type you need - for example QA, QC, or commissioning.
  2. Open an existing template you can edit, or create one with Add Template.
  3. Click Add new block.
  4. Choose Checklist table (hover text: Fixed-layout checklist table for template authoring).
  5. A new block titled Checklist table appears, starting as a compact grid (commonly four columns and one row) with Page-width enabled. Optionally rename it using Checklist table title.
  6. Keep the template open until you finish the layout - changes save automatically as you edit.



Build the table layout


  1. Select cells in the checklist table.
  2. Use the toolbar to change the structure: Insert row above, Insert row below, Delete rows, Insert column left, Insert column right, Delete columns. Checklist tables use toolbar-only structure controls - right-clicking a cell does not open a menu here.
  3. Type labels and static text into cells that should stay read-only when the checklist is performed.
  4. Merge or unmerge selected cells with Merge cells / Unmerge cells.
  5. Align selected cells with Align left, Align center, or Align right.
  6. Apply Toggle gray background to selected cells for visual grouping.


Row, column, merge, alignment, and background changes are available only while editing the template - performers filling a live checklist cannot change the table structure.




Mark input and checkbox cells


  1. Select one or more cells that performers should type into.
  2. Click Set input cell. Input cells show a light-blue cue in the template and on the checklist.
  3. Select cells that should be checkboxes and click Set checkbox.
  4. To clear a type, select cells that already share that type and click the same toolbar button again - its tooltip becomes Clear cell type.


Only cells marked as input or checkbox are editable when someone performs the checklist. Unmarked cells stay as fixed labels.




Choose Page-width or Free-width


  1. In the checklist table toolbar, choose Page-width or Free-width.
  2. Page-width is the default for new checklist tables and keeps a locked, print-oriented width.
  3. Free-width lets the table grow with your column sizes; wide tables scroll inside the checklist view.
  4. Resize columns by dragging column borders when you need custom widths, in either mode.

Use Checklist table for compact forms and sign-off grids. Use Spreadsheet when you rely on formulas, spreadsheet-style tools, expand/collapse, or uploading an Excel file into a sheet.


If Checklist table doesn't appear under Add new block


Open a checklist template you can edit in the Templates / template center - Checklist table is a block option next to Spreadsheet. If the whole Add new block control is missing, you do not have template edit rights for that template. Check your Company role and the template's edit-access setting: Only me, All "Moderators" of your company can edit, or Only "Admins" of your company can edit.


If cells stay locked after you update the template


On a live checklist, only cells marked Set input cell or Set checkbox are editable - label cells stay locked by design. If every cell is locked after a template change, reopen the template, mark the fillable cells, then Reimport the template to the project (or import a new checklist from the updated template). You also need a Project role that can perform the checklist.


If you see "Editing is blocked. Please create a new version first."


Checklist tables autosave after changes. If edits in the template or checklist do not stay, first check your connection and confirm you still have edit or perform access. If you see Editing is blocked. Please create a new version first., click Create version to open a draft, edit the checklist table there, then use Publish version when ready.
