Asset fields reference - standard attributes in the Asset module
Overview
What does each field in the asset record mean, and how should it be used in a commissioning project in CxPlanner?
The asset fields reference in the Asset module documents every standard attribute available on an asset record - covering identification, classification, location, status, lifecycle, and equipment-specific fields - used by commissioning engineers, project managers, and site supervisors to correctly populate asset data during equipment registration, nameplate scanning, and handover documentation.
This guide covers all standard fields. Fields that do not appear in this list have been added as custom attributes by your company admin.
When and why to use this
Use this reference when registering new assets, importing assets from a spreadsheet, or verifying that asset records are complete before handover. Accurate field population ensures that QR code lookups, checklist linking, file matching, and AI nameplate enrichment all work correctly.
- When this is needed - when populating assets for the first time, when reviewing data quality before a handover milestone, or when troubleshooting why a checklist or file is not linking correctly to an asset
- What the system does - uses Asset ID, Name, tags, and classification fields to drive automated processes including QR code generation, CxAI file matching, and checklist assignment
- Limitations - standard fields listed here cannot be renamed or removed; only custom attributes (created in Types: Assets) can be added or deleted by a project Admin
How to
Locate asset Attributes
- Open your project in CxPlanner and navigate to the Asset module.
- Click Assets overview.
- Click any Asset ID or asset Name to open the asset overview panel.
- Standard fields appear across the tabs of the panel. Most editable fields are on the Overview tab and the Description tab.
Edit a field value in the attributes tab
- Click the field you want to edit in the asset attributes panel.
- Enter or select the new value.
- Click outside the field or press Enter to save.

Identification fields

Barcode vs. Serial Number: The Serial Number is assigned by the manufacturer and is printed in the equipment documentation. The Barcode is the physical label scanned on site during installation or inspection. Both fields can be populated independently and may contain different values for the same piece of equipment.

The System field links to the Systems overview module. Selecting a system here makes the asset visible within that system's record.
Location fields

Location fields work in combination. Filling in all four provides the most precise equipment location for site navigation and reporting.
Status field

Inactive | Asset is not in use or has been removed | Hidden from standard views; not deleted |
Setting an asset to Inactive removes it from the default Assets overview list but preserves all linked data, checklists, and history. Inactive assets can be restored at any time.
Lifecycle fields

Lifecycle fields are optional but recommended for assets that will be handed over to a facilities management team.
Equipment-specific fields
The following fields appear on relevant equipment types and are populated either manually or via the CxAI nameplate enrichment feature when a nameplate photo is uploaded on the Photo tab.

These fields appear only on asset types where they are applicable (e.g., air handling units, fans, pumps). They will not appear on all asset types.
Custom attributes
Any field that appears in the asset detail panel and is not listed in this reference has been created as a custom attribute by your company or project admin. Custom attributes are defined in Types: Assets and are specific to a particular asset type.
- Custom attributes appear as additional columns in the Assets overview (sortable, filterable, and included in exports)
- Custom attribute types include: text, number, date, and dropdown

Troubleshooting
Problem | Cause | Solution |
