Create and manage custom views in the assets overview

Overview: custom views in Assets overview


Custom views in the Asset module Assets overview save a named mix of visible columns, filters, and sort order, which is used when different roles need a reusable slice of asset data without rebuilding the grid each time.


Built-in checklist presets are also listed below.


  • Your role can be any project role for private views. Manager or higher is required for public views and the project default.
  • You can find the menu at Asset module - Assets overview - View settings.
  • This changes the columns, filters, and sort order shown when a view is selected.


Creating public views or setting a project default requires project role Manager or higher. Any user can create private views.


How to create and manage custom views


Create a new view


  1. Click View settings.
  2. Click Create new view.
  3. Enter a name, for example Mechanical - FPT checklists.
  4. Enter an optional description.
  5. Set visibility to Private or Public.
  6. Optionally enable Set as default view for this project.
  7. Click Save.

Configure columns and filters before updating a view


  1. Open Assets overview.
  2. Click View settings and select Visible columns.
  3. Apply filters in the filter bar.
  4. Set sort order by clicking a column header.
  5. Open View settings and update the selected view.

Switch between views


  1. Click View settings at the top of the Assets overview.
  2. Select a view from the list.

Changes after loading a view are not saved automatically. Use update view to keep them.


Troubleshooting: custom views


Problem

Cause

Solution

Save as new view is not visible

You are not in Assets overview or a list view that supports views

Open Assets overview or a checklist list view, then open View settings

Public view not visible to others

Users are in the wrong view, or below Viewer

Confirm they have at least Viewer and are in the same Assets overview

Columns reset when switching views

View was saved before column changes

Re-apply columns, then update the saved view

Cannot set project default

Project role is below Manager

Ask a project Manager or Admin to set the default

Built-in preset is missing

Presets apply to System Checklists views, not the main Assets overview

Open the checklist view that contains the presets
