Synchronize checklist data with equipment assets
Overview: synchronize checklist data with assets
A sync line item in a checklist can push entered values to an asset field and pull reference values from the asset, which is used when site teams record actual equipment data during a test and need that data stored on the asset record.
The asset attributes used for sync must already exist as asset columns.
- Your role must be Manager or higher to configure sync rows.
- You can find the action inside a checklist - Add line - Actions - convert to sync value to asset/equipment.
- This changes the linked asset fields when sync input values are saved.
How to synchronize checklist data with an asset
- Open the checklist where you want to capture asset data.
- Click Add line to create a new row.
- Open Actions and choose Convert to "Sync value to asset/equipment."
- Set Column 1 - Info/Label as the instruction text, for example Enter Actual model.
- Set Column 2 - Input to the asset field that should receive the typed value, for example Actual model.
- Set Column 3 - Reference to the asset field to display, for example Design model.
- Enter the input value and save the row.
- Open Asset Overview and confirm the asset field updated.
Results: sync behavior and permissions
Project role | Can configure sync rows |
|---|---|
Admin | Yes |
Manager | Yes |
Consultant | No |
Designer | No |
Contractor | No |
Viewer | No |
- Project administrators can edit input and, if needed, reference values from the checklist.
- Lower-access users can fill only the input field. The reference field stays read-only.
- Saving the input value syncs it to the linked asset.
Troubleshooting: checklist-to-asset sync
Problem | Cause | Solution |
|---|---|---|
Cannot choose the asset field | Asset attribute does not exist | Create the attribute as a column in Asset overview, then configure the sync row again |
Equipment not available to link | Asset has not been created | Create the asset first, then reopen the checklist sync setup |
Value does not appear on the asset | Row was not saved, or field names do not match | Save the sync row, confirm the exact asset field names, then reopen Asset Overview |
Linked data missing from a report | Report was generated before the sync | Save the sync, then regenerate the PDF or Excel report |
