Manage Folder and File Access
Overview: folder and file access
Folder access control in the Files module lets Managers and Admins grant Write, Read, or None access by user group or individual user, which is used when contractors, consultants, and design teams need different document rights.
- Your role must be Manager or Admin.
- You can find the menu at Files module - folder menu - Access control and permissions.
- This changes folder visibility, upload rights, and delete rights. Admins always keep Write access.
How to manage folder and file access
- Navigate to the Files module in your project.
- Click the menu icon on the desired folder.
- Select Access control and permissions.

- Choose User groups or Individual users.
- Assign Write, Read, or None.
- Optionally enable Can delete if the user should delete files uploaded by others.
- Click Save.

User group access
- Open the access control panel.
- Activate the desired user group so it turns green.
- Assign the permission for each folder.
- Manage group membership in Project settings if needed.
Person-specific access
- Scroll to the bottom of the access control panel.
- Grant additional access to an individual user.
- Remember you can only increase access here, not revoke access inherited from a group.
Access log
- Open the User Rights menu in the Files module.
- Click Access log for changes to see who changed what and when.

Troubleshooting: folder and file access
Problem | Cause | Solution |
|---|---|---|
Cannot grant access | Your project role is below Manager | Ask a project Admin to raise your role to Manager or to set the permissions |
Cannot remove access | Access is inherited from a user group | Edit the user group membership or permissions, or move the user out of that group |
Folder not visible | Folder is locked, or permission is None | Ask an Admin to unlock the folder or grant Read or Write access |
User cannot delete files | Can delete is not enabled | Enable Can delete for that user or group, then save |
