Track and approve asset handover

The Asset handover feature in the Asset module tracks whether every required attribute (for example manufacturer, model, and serial number) and every required document (for example drawings) has been captured on each asset, then lets a Manager mark the asset's handover as Approved once that data is in place. It's used during equipment handover and project closeout, when you need proof that nameplate data and drawings exist for every asset before signing off to the client or moving to the next commissioning stage.


Configuring which attributes and documents are required, and approving handover, requires project role Manager or higher; any project role with asset access can view completion.

  1. Find the Attributes column. It shows the percentage of required attribute fields that have been filled in on that asset, for example 100%, 66%, or 33%.
  2. Any required field that is still empty is highlighted yellow directly in its column (for example Manufacturer, Model, or Serial Number), so you can see exactly what's missing without opening the asset.
  3. To also see document completion, click the view options icon (the sliders icon next to Add asset), then click Visible columns.
  4. In the Table Columns View window, check Documents % (overall required-document completion) and Drawings % (completion for a specific document group), then click OK.


If a project only has one document group configured, its group column and the overall Documents % column show the same value.




Open the dedicated Asset handover view

Asset handover is a separate, condensed view built specifically for tracking and approving handover, rather than the full Assets overview grid.

  1. In the sidebar, under Asset Register, click Asset handover.
  2. Use the asset type selector at the top to switch between asset types, or expand All asset types to see a completion bar per type (for example Compressor, Control Panel, Electrical Motor).
  3. Review the table: Asset ID, Name, Manufacturer, Model, Serial Number, Attributes (%), Documents %, Responsible user-group(s), and Handover status.
  4. Once you've confirmed the required attributes and documents are in order for an asset, change its Handover status to Approved.


An asset's Handover status starts as Open and stays that way until a Manager or higher approves it. Approving does not require 100% completion first.



Configure required attributes on an asset type

Required attributes are set per asset type, so every asset of that type is checked against the same fields.


  1. Open the Asset module and click Types: Assets in the sidebar.
  2. Find the asset type (for example Compressor) and scroll to Attribute requirements.
  3. Click Add attribute requirement.
  4. Under Field, select the attribute to require.
  5. Optionally add a Description to explain what's expected.
  6. Leave Required checked so the field counts toward the asset's Attributes % completion.
  7. Optionally set a Responsible group (for example Electrical Contractor or Owner) so it's clear who is expected to fill it in. Leave this on No default group if you don't need to assign it to a specific group.
  8. Set an Order if you want this requirement listed in a specific position relative to the others.
  9. Under Import to existing assets of this type, enable the option if existing assets of this type should also pick up the new requirement, not just assets created after today.
  10. Click Create.




Configure required documents on an asset type

Required documents work the same way as attributes, but are grouped (for example all drawings together) and fulfilled by attaching a project file rather than typing a value.


This is an Enterprise feature. Document matrix only appears on an asset type when your company has the AssetDocuments plugin enabled, and an Admin has turned on Asset documents matrix in Project settings.


  1. Open Types: Assets and scroll to Document matrix on the asset type.
  2. Click Add document group, enter a Group name (for example Drawings), and click Create. Under Advanced, you can instead enable Clone document matrix from another asset type to copy an existing setup.
  3. Inside the group, click Add document requirement.
  4. Enter a Name for the document (for example PID or SLD) and an optional Description.
  5. Leave Required checked so it counts toward the asset's Documents % completion.
  6. Under Advanced, optionally set an Assigned user group and enable Import to existing assets of this type the same way as for attribute requirements.
  7. Click Create.


Once a document requirement exists, it's fulfilled from the individual asset's Documents tab or from the Documents % column in Assets overview by attaching a project file.
