Overview


How do I manage the folder structure in the file module?


In CxPlanner, you can customize your project’s folder structure to organize files as you would in a traditional file explorer. You can create, rename, move, and delete folders within the File module.


Only users with the project role Manager or Admin can perform this action.



When and why to use this


Use folder management to structure documents logically within your project. This improves navigation, access control, and reporting workflows.


  • Use when organizing files for better project collaboration
  • System folders (like Reports) are auto-generated and cannot be removed
  • Folder permissions can be restricted to Admins only
  • Deleting a folder also deletes all files within it


Steps to edit the folder structure:


  1. Open the File module from the left menu.
  2. Click on Folder Structure at the top of the view.


  1. A folder structure editor will appear where you can modify the layout.


  1. Right-click a folder to open the context menu:
  • Add new folders
  • Rename folders
  • Delete folders


  1. If you're a project Admin, you will see a checkbox when editing folders.
  • If the checkbox is enabled, only Admins can manage the folder and set access permissions.
  • If the checkbox is disabled, project Managers will also be able to edit the folder.

Understanding the “Reports \[systems folder]”


You may notice a folder called “Reports \[systems folder]” in your file structure. This is not user-created and cannot be removed.


  • This folder stores automatically generated PDF reports from:
  • Completed checklists
  • Tests
  • Inspections
  • Helps centralize finalized documentation
  • No manual action is needed to create or organize this folder
  • Documents here are always up to date and ready for download or sharing
