Use the Closeout Overview (Kanban) to manage tasks and punchlist items
Overview
How do I view and manage all project tasks and punchlist items in a Kanban board layout in CxPlanner?
The Closeout Overview in the Asset module provides a Kanban board view of all tasks and punchlist items in a project, organized into three status columns - Open, Active, and Closed - with swimlane grouping by category or other fields, used during construction closeout and commissioning punchlist resolution to give teams a visual status overview and allow direct task management without switching to the list view.

When and why to use this
Use the Closeout Overview when you need a visual status overview of all outstanding tasks and punchlist items at once, especially during site walks, closeout meetings, or handover preparation. The board makes it easy to see where work is concentrated and move items to the correct status without opening each task individually.
- When this is needed - during closeout phases when the team needs to track which punchlist items are open, in progress, or resolved; also useful in weekly coordination meetings where task status needs to be reviewed and updated
- What the system does - displays the same tasks shown in the Punchlist list view, but arranged as cards in three columns by status; moving a card updates the task status immediately
- Limitations - the board shows all tasks in the project by default; use filters to narrow by trade, category, or responsible company; drag-and-drop requires a stable connection and is not optimized for mobile
How to
Open the Closeout Overview
- Open your project in CxPlanner.
- Click Closeout overview in the left sidebar under Task management. (The board loads with three columns: Open, Active, and Closed.)
- Review the three status columns:
- Open - tasks that have not been started
- Active - tasks currently in progress
- Closed - tasks that have been completed or resolved
- Review the swimlane rows - cards are grouped into horizontal rows by category, group, or another configured field. Each swimlane is labelled with its group name.

Configure swimlane grouping in the Closeout overview
- Click the gear icon (settings) in the top-right corner of the board. A dropdown appears with board options.
- Click Create swimlane overview.
- In the Group by modal, select a field to group cards into swimlane rows:
Built-in fields:
- Can be closed status - groups by whether the task can be closed
- Assigned company - one swimlane per responsible company
- Assigned to - one swimlane per responsible person
- Asset type - groups by the asset type linked to the task
- Checklist type - groups by the checklist type linked to the task
Custom fields:
- Priority - groups by task priority
- Paragraph - groups by paragraph assignment
The board reloads with one swimlane row per group value. Cards without a value for the selected field appear in a Default swimlane.

Filter the board in the Closeout overview
- Click the gear icon in the top-right corner and use the Filter by option to filter cards by user.
- Use the Search bar in the toolbar to locate specific tasks by keyword.

Move a task between columns in the Closeout overview
- Locate the task card you want to move.
- Drag the card to the target column (Open, Active, or Closed), or click the card to open it and change the Status field directly. (The status updates immediately. The change is visible to all project)members.

Behavior and results
Moving a card between columns changes the task's status field. This update is reflected immediately in:
- The Closeout Overview board
- The Punchlist list view
- Any reports or exports that include task status

Swimlane grouping options
Swimlane grouping is configured per board via the gear icon > Create swimlane overview. Available Group by fields:

Troubleshooting
