How do I embed fonts in PDF exports?


Embedding fonts in a PDF ensures that the text can be correctly displayed and copied, even in PDF readers that do not support OCR by default. Without embedded fonts, users may experience issues with copy-pasting text.


Only users with the Company role Admin can enable font embedding at the company level. Any user can enable it for a single PDF export.


When and why to use this


Font embedding is useful when:

  • You want text in PDFs to be copy-pasteable in all PDF readers.
  • You are sharing PDFs with external stakeholders who may use different PDF software.
  • You need consistent formatting across devices.


Keep in mind:

  • Embedding fonts will increase the overall PDF file size.
  • You can choose between enabling it for a single export or for all company reports.


How to - step by step


Enable font embedding for a single PDF export

  1. Go to the export menu in your project.
  2. Select Export as PDF.
  3. Enable the option Embed fonts.
  4. Complete the export.




Enable font embedding for all company reports

  1. Go to Company settings.
  2. Open the Report settings section.
  3. Enable Embed fonts in all PDFs.
  4. Save the settings.




Behavior and results


When font embedding is enabled:

  • All characters are stored directly in the PDF file.
  • Users can copy and paste text reliably across platforms.
  • File size increases depending on the fonts used.
