Embed fonts in PDF exports

Overview: embed fonts in PDF exports


Font embedding stores characters in the PDF so text stays readable and copyable in readers without OCR. You can enable it for one export, or company-wide for all PDFs.


  • Your role can be any project role for single-export embedding. Your role must be Company Admin for company-wide embedding.
  • You can find single-export control in the PDF export menu, and company control under Company settings - Report settings.
  • This changes PDF file size and copy-paste reliability.


Only Company Admin can enable font embedding for all company PDFs. Any user can enable it for a single export.


How to embed fonts


Single PDF export

  1. Open the export menu in your project.
  2. Select Export as PDF.
  3. Enable Embed fonts.
  4. Complete the export.

All company reports

  1. Go to Company settings.
  2. Open Report settings.
  3. Enable Embed fonts in all PDFs.
  4. Save the settings.

Results: embedded fonts


  • Text can be copied reliably across platforms
  • File size increases depending on the fonts used


Troubleshooting: embed fonts


Problem

Cause

Solution

PDF file size is too large

Fonts are fully embedded

Disable font embedding for that export, or turn off the company-wide setting if not needed

Cannot copy text from PDF

Fonts not embedded, or reader limitation

Re-export with Embed fonts enabled

Company-wide setting missing

Your role is not Company Admin

Ask a Company Admin to enable Embed fonts in all PDFs under Report settings
