Assign responsibility to checklists and tasks
Overview: assign checklist and task responsibility
Responsibility assignment in CxPlanner works at checklist level and at task level. Checklist assignment sets who owns a full checklist or test. Task assignment sets who owns an individual task, issue, or punch list item.
For role-based access (who can view or edit by project role), see Access levels in checklists.
- Your role must be Manager or higher to assign checklists, and Contractor or higher to assign tasks.
- You can find the menu at System & Test view, checklist type views, the individual checklist page, or Task management - Punch list items and tasks.
- This changes checklist and task visibility in "Checklists assigned to you" and "Tasks assigned to you".
How to assign a checklist from System & Test view
- Open System & Test view, or a checklist type view, from the left sidebar.
- Locate the checklist row.
- Click Responsible to assign a person.
- Click Company to assign a company.
- Click User group to assign a user group.
- If a column is missing, open View settings and add it.

How to assign from an individual checklist page
- Open the checklist from any view.
- Click the assignment fields at the top of the checklist.
- Select the person or company from the dropdown.

How to bulk assign checklists
- In System & Test view, select the checkboxes on the rows to update.
- Hold Shift while clicking to select all checklists below a row within a folder.
- Hold Ctrl while clicking to select all elements below.
- Click Menu.
- Select Bulk edit many items.
- Apply the person, company, or user-group assignment to the selection.

How to assign at folder level
- In System & Test view, locate the folder row.
- Click the Company, Responsible, or User group cell on the folder row.
- Select the value to assign.
- Confirm Apply to folder when prompted.
- Click Continue.
How to assign a task from the punch list
- Go to Task management - Punch list items and tasks.
- Click a task row to open the detail panel.
- Set Responsible to assign a person.
- Set Company to assign a company.
- Changes save automatically.

When working in a checklist, clicking a failed line item opens the task detail panel. You can set person and company there without leaving the checklist.

Troubleshooting: assign checklist and task responsibility
Problem | Cause | Solution |
|---|---|---|
Responsible, Company, or User group column missing | Columns are hidden | Click View settings and add the missing columns |
User does not see the checklist in "Checklists assigned to you" | Checklist is assigned to company or group, not to the person | Set that user in the Responsible field |
Cannot assign a user group to a task | User group exists only at checklist level | Assign the group on the checklist, and assign a person or company on the task |
Assignment dropdown shows no users | User is not on the project | Add the user in project settings, then assign again |
Bulk assignment does nothing | Rows were not selected | Select checkboxes first, then use Bulk edit many items |
