Export checklists to PDF or Excel

Overview: export a checklist to PDF or Excel


Checklist export creates a printable report or spreadsheet from the open checklist, which is used for handover, sharing results, or further analysis outside CxPlanner.


For downloading many checklists at once, see Export multiple checklists at once.


  • Your role must be Manager or higher.
  • You can find the menu at Checklists - Export to PDF and XLSX.
  • This does not change checklist data. It creates PDF or Excel files for download.


Only users with the project role Manager or higher can export checklists.


How to export a checklist to PDF or Excel


  1. Open your project and go to the checklist.
  2. On the right-hand side, click Export to PDF and XLSX.
  3. Choose one report option:
  4. Select PDF: Default report for a standard PDF with comments and pictures.
  5. Select PDF: Checklist report for a compact results-focused PDF.
  6. Select PDF: Smart report for task details, latest pictures, and floor plan location.
  7. Select XLSX: Excel report for a spreadsheet you can filter and sort.

Exports include only items marked Pass or Fail. Unchecked items are not shown.


Troubleshooting: export a checklist to PDF or Excel


Problem

Export option is greyed out

Project role is below Manager

Ask a project Manager or Admin to raise your role, then export again

File is missing some checklist items

Items were not marked Pass or Fail

Mark the needed items Pass or Fail, then export again

PDF does not show pictures

Wrong export type chosen

Use PDF: Default report or PDF: Smart report
